LEO Nursery Provision Terms and Conditions

ANNUAL NURSERY AGREEMENT

This Agreement is between West Ashtead Primary Academy and you, the parent(s)/guardian(s) of the child attending nursery.

Term Time Only - this is the 38 week provision (closed INSET Days)

Term Time Extra - this is more than 38 weeks, and the extra weeks are a paid for provision

In consideration of the provision of a school nursery place , it is agreed as follows:

  1. FEES FOR NON-FULLY FUNDED SESSIONS

    1. Invoices are issued by ChildCare Bookings for Schools  for any non-funded sessions half termly. 

    2. Any Increase in fees will be advised in writing by the Principal giving at least half a terms notice. 

    3. Fees paid for sessions not taken due to sickness, holidays or for any other reason are not refundable. 

    4. You are required to give at least half a term written notice to the Principal to cancel this Agreement.  The Principal may similarly cancel this Agreement with half a term written notice.

    5. Overdue payments may result in correspondence being sent out by the school. Letters chasing overdue fees may incur an administration cost. The school will not charge for any funded sessions as they are covered under the free early years provision component of your child’s nursery care. These funded sessions require an eligibility code (apart from the 15 hours Universal offer for 3- and 4-year-olds) and is on the proviso that the code is valid and is revalidated every 3 months by a parent. If an invalid code or no eligibility code is provided, fees will be charged at our current rates. 

    6. In return, you will complete any necessary forms required by the school in order to claim the Free Early Years Funding component of your child’s nursery care from the local authority. 

    7. If your child is collected late, you may be charged £1 per minute of late collection or part thereof from the end of your contracted session to the time when you collect your child. This charge will be invoiced separately . Children not collected after 15 minutes of the nursery closing time would be considered a Safeguarding concern and the Local Authority would be notified if no contact from the parent or carer has been made. 

    8. The school nursery will be closed for bank holidays and up to 6 training days. A list of these holidays can be found on our school website. In exceptional circumstances, there may be an event that triggers the closure of school nursery for example transport strikes, severe adverse weather conditions, personal health or acts of terrorism. In such or similar circumstances, the school will not be held responsible and refunds will not be issued for such forced closures. Training days have been calculated as part of the weeks per year that the nursery is open so sessions on these days cannot be swapped to other days when these occur.

  2.       COLLECTION ARRANGEMENTS FOR CHILDREN

    1. If you are unable to collect your child, you must ensure that they are collected by someone over the age of 16. In the event that your child is collected from nursery by someone other than another parent, please let the nursery know in advance and provide an appropriate means of identifying them to the staff of the school nursery.

    2. The school nursery is not able to care for sick children. If your child becomes ill or has an accident at nursery, you will be contacted and asked for your child to be collected from the school office. You will need to ensure this can be done within a reasonable time, after you receive the call. 

    3. You will provide and notify us of any changes to your home telephone number, workplace and mobile telephone numbers, together with details of another person (such as a grandparent) who could be contacted in the event of an emergency.

    4. If your child is suffering from an infectious disease such as chickenpox, you must keep them away from nursery until they are symptom-free. In the case of diarrhoea and vomiting, there is a minimum 48-hour exclusion period after symptoms have ceased.  When to keep your child at home.

    5. Prescribed and correctly labelled medication will be administered only with your permission - this will be recorded on Medical Tracker

  3. TERMINATION OF THIS CONTRACT BY THE NURSERY

    1. In the event of you failing to pay the fees and no arrangement to clear the arrears is made by the end of the preceding term your child’s place shall be withdrawn, and the school nursery shall be entitled to serve a formal demand for payment of such monies. Your place may then be allocated to a child on our waiting list.

    2. The school may require parents to withdraw or remove their child from the nursery in align with the schools Behaviour Policy

    3. The school will not tolerate staff being spoken to in an abusive or threatening manner by parents, carers, or children. Such behaviour may result in the termination of a nursery place.

    4. In the event of a place being withdrawn, as detailed in points 3.2 and 3.3 above, any fees already paid for future sessions will be refunded.
